Asylum Knowledge Vault is operated by C-Life and Partners (“we,” “us,” “our”). We are the data controller responsible for your personal information collected through this platform and our associated digital properties.

We use third-party services to operate the platform. Each provider has their own privacy policy governing how they handle data.

05 Cookies and Tracking
We use cookies and similar technologies to maintain your session, understand how the platform is used, and improve your experience. Cookies we use include:

You can control cookies through your browser settings. Blocking session cookies will prevent login functionality.
06 Data Retention
We retain your data for as long as necessary to provide the service and meet legal obligations:
- Account data is retained until you request deletion
- Query logs may be retained up to 12 months for platform improvement
- Payment records are retained as required by applicable tax laws
- Anonymized usage data may be retained indefinitely

- Correction — request that inaccurate data be corrected
- Deletion — request that your personal data be deleted

08 Data Security
We implement appropriate technical and organizational measures to protect your data, including encrypted data transmission (HTTPS), secure authentication (Supabase magic link), role-based access controls, and environment variable protection for API keys.
No system is 100% secure. In the event of a data breach that affects your rights, we will notify you in accordance with applicable law.
09 Children’s Privacy
Our platform is intended for adults 18 years of age and older. We do not knowingly collect personal data from individuals under 18. If we become aware that we have collected data from a minor, we will delete it promptly. If you believe a minor has provided us with personal data, contact us immediately.
10 AI and Automated Processing
Our platform uses AI systems (OpenAI GPT-4o-mini and embedding models) to process your queries and generate content. This constitutes automated processing of personal data. We do not use fully automated decision-making that produces legal or similarly significant effects on individuals without human oversight.
Queries you submit may be processed by OpenAI’s API. Please review OpenAI’s Privacy Policy for details on how they handle API data.
11 Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last Updated” date at the top of this page. For material changes, we will notify you via email or a prominent notice on the platform. Continued use of the service after changes constitutes acceptance of the updated policy.
